A till that balances: POS and invoicing for snacks, restaurants and bakeries in Mauritius
Snacks, restaurants and bakeries in Mauritius: POS till, day close by cash, card and Juice, cake-order deposits and catering invoices. 14 days free. A guide from Envoice.mu.
Imagine a snack in Quatre Bornes at a quarter past twelve on a weekday. The queue of office workers reaches the pavement; the dholl puri are going faster than your cousin can roll them, and half the customers pay by Juice while the other half count out coins. Meanwhile a WhatsApp comes in from a customer who wants a three-tier birthday cake for Saturday and has sent a Rs 1,000 deposit, and an office down the road wants you to cater a staff lunch on Friday and pay "by cheque, next week". At 7pm you close up, count Rs 9,640 in the drawer, and have no idea whether that's right.
The drawer that never quite matches
The food is sold and the customers are happy. What you're missing is a clear answer to a plain question: how much came in today, by which method, and who still owes you for orders already delivered? That's Invoice Blindness.
In food businesses it hides in small amounts that add up. Juice payments land on the owner's phone and never meet the till total. Cake deposits sit in a notebook, often in someone else's handwriting. Catering for companies goes out on trust and gets chased weeks later from memory. And the bill from the flour or chicken supplier is a receipt on a nail behind the counter.
How food businesses run in Envoice
Counter sales go through the POS till, with a barcode scanner for packaged goods if you sell them. Each sale carries its payment method, so the day close splits cash, card and Juice, and you count the drawer against the cash figure alone. If the drawer is short, you know at closing rather than at month end.
Orders follow a longer path: order or quote, deposit, invoice, paid, receipt.
| Money coming in | Where it lands in Envoice |
|---|---|
| Counter sale paid in cash, card or Juice | The till, counted in the day close by payment method |
| Cake or party order with a deposit | An invoice with the deposit recorded as a part payment and a receipt for the customer |
| WhatsApp order typed in Kreol or French | Smart Paste turns the pasted message into an invoice |
| Company catering on credit | A quote the client accepts on their phone, an invoice, then payment reminders until it's paid |
| A weekly order from a regular client | A recurring invoice that goes out on schedule |
| Supplier bills | Expenses, with AI receipt reading taking the amounts off a photo |
For the birthday cake, that means the deposit and the balance sit on one invoice. When the customer collects on Saturday and pays the rest, she gets a numbered receipt, and nobody needs to find the notebook. If you agreed to drop the price because the delivery was late, a credit note records it; issued invoices stay locked.
Stock and low-stock alerts help with the ingredients and packaged items you track, and purchase orders and supplier records on the Business plan keep your orders to suppliers in one place. If you run a kitchen with several stations, the kitchen display comes with Business Plus, along with up to three locations.
The daily owner summary email is useful on the days you can't be at the counter yourself.
What to look for in any food POS
Most tills can ring up a sale. Fewer deal with the orders, deposits and credit that make up a good share of a food business's money. Check:
- Does the day close split cash, card and Juice, not only a single total?
- Can you take a deposit on a custom order and collect the balance later, with a receipt each time?
- Can a WhatsApp order become an invoice without retyping?
- Do invoices to companies get reminders, and can you see which are overdue?
- Can you photograph a supplier receipt and have the amounts read for you?
- Does each staff member have their own login, so the owner's password stays private?
