Hardware and retail shops in Mauritius: till, stock and credit accounts in one place
Hardware and retail shops in Mauritius: barcode till, stock alerts, purchase orders and contractor credit accounts that show who owes you. 14 days free. A guide from Envoice.mu.
Imagine a hardware shop in Goodlands on a Tuesday morning. A builder's helper drives up for twenty bags of cement and a roll of mesh "on the boss's account"; a homeowner wants a price for everything needed to redo a bathroom; your nephew at the counter is scanning paint tins for a walk-in customer who pays by Juice. The account book under the counter has a page for every regular contractor, each written a bit differently. By Friday one of those contractors calls to ask what he owes, and the honest answer is that you'll need an hour to add it up.
The account book under the counter
This is Invoice Blindness. The goods have left the shop, many of them on credit, and you can't say right away who has paid, who has paid part, and how much is still out there.
Hardware and general retail shops carry more of it than most because so much of the trade runs on accounts. Contractors take materials now and settle at month end; regular customers pay in pieces; returns get swapped for something else and noted in the margin. Then there's stock. When the cement runs out on a Saturday morning because nobody noticed it was low, you lose the sale and possibly the customer.
How the shop runs in Envoice
Envoice puts the counter, the accounts and the stockroom in the same system, so a sale reduces stock and a credit sale shows up in the list of who owes you.
| Customer | How you bill them |
|---|---|
| Walk-in, paying now | POS till with barcode scanner; cash, card or Juice recorded and counted in the day close |
| Contractor on account | An invoice for each collection, part payments recorded as they come, a numbered receipt each time |
| Homeowner asking for a price | A quote they can accept on their phone, which becomes an invoice without retyping |
| Company buying monthly supplies | Invoices with payment reminders, or a recurring invoice for a fixed order |
| Customer returning an item | A credit note against the original invoice, which stays locked |
The flow for a bigger order looks like this: the homeowner gets a quote for the bathroom materials and accepts it, you turn it into an invoice, she pays a deposit by bank transfer and the rest when she collects, and she leaves with a receipt showing the balance before and after each payment. Nothing gets retyped along the way.
Behind the counter, stock and low-stock alerts warn you before a fast-moving line runs out. Purchase orders and supplier records on the Business plan track what you've ordered and from whom, and AI receipt reading takes amounts off the supplier receipts you photograph into expenses. Bank matching works by importing your bank statement as a CSV file; it isn't a live bank feed, but it saves matching transfers one by one.
If you have a second branch, Business Plus covers up to three locations. Each person at the counter gets their own login and role, and the activity log shows who did what.
Moving from another system? Move to Envoice imports from Excel, Loyverse, Shopify, WooCommerce and other systems, and brings unpaid invoices across as opening balances. You can undo an import for seven days, as long as nothing has been built on it yet.
What to look for in any retail system
A shop system earns its keep at the end of the month, not at the moment of sale. Ask any vendor:
- Can a customer buy on credit, pay in parts and see a clear balance on every receipt?
- Does it tell you who owes you, and since when, on one screen?
- Does a sale reduce stock, and does it warn you before something runs out?
- Can you raise purchase orders to suppliers from the same place?
- Does the day close split cash, card and Juice?
- If you're above Rs 3m turnover, VAT registration is compulsory from 1 October 2026. Does it prepare the VAT worksheet? Envoice's VAT Manager prepares the monthly worksheet and the VT03 annex; you file on the MRA portal.
