Job cards, parts and invoices for car garages and mechanics in Mauritius

Garages and mechanics in Mauritius: estimates clients accept by phone, job cards with photos, parts stock, invoices and receipts. Try Envoice.mu for 14 days.

Imagine a garage in Plaine Magnien on a Wednesday. A Vitz is up on the lift with worn brake pads and a disc that's past saving; a pickup belonging to a small construction company is waiting for a clutch; and a customer is on the phone asking why his bill came to Rs 7,800 when, as he remembers it, you said "around six". You did say around six, before you found the disc. You told him on the phone, and he agreed, but there's nothing written down. The parts receipt from the supplier is on the workbench under a rag.

Where the garage loses track

That phone call is one face of Invoice Blindness: the repair is done and the bill went out, but you can't show what was agreed, and you can't say right now which customers have paid, which have paid part, and which company accounts are drifting.

Garages see it in every corner. Estimates change once the car is opened. Fleet and company customers pay monthly, when they remember. Parts get bought for a job and never billed through, or billed twice. Cash, cheques and Juice all come through the same office. Most customers are reasonable; they just want to see why the number changed, and the garage needs a record that shows them.

How a repair runs in Envoice

Each car's visit follows one path: estimate, job card, invoice, paid, receipt.

Moment in the jobWhat you keep on record
Car arrivesA quote (your estimate) shared by WhatsApp link, which the customer accepts on their phone
Car opened and more work foundA revised quote sent for acceptance before you fit the extra parts
Work in progressA work order; the technician app records photos of the worn parts, time on the job, materials used and the customer's signature
Car readyThe job becomes an invoice without retyping, locked once issued
Customer paysCash, card, Juice, bank or cheque recorded, part payments included, with a numbered receipt
Goodwill discount or warranty correctionA credit note, so the original invoice stays intact

For the customer who remembered "around six", the revised quote with his acceptance on it settles the conversation before it starts. A photo of the scored disc next to the new one helps too.

Parts sit in stock, with low-stock alerts for the pads, filters and oils you go through fastest. Purchase orders and supplier records on the Business plan keep track of what you've ordered from your parts suppliers, and job costing shows whether a repair made money once parts and time are counted. Supplier receipts go into expenses, with AI receipt reading taking the amounts from a photo.

Company and fleet customers get their own invoices with payment reminders, and the list of who owes you shows which accounts are slipping. Each mechanic gets their own login with the technician role, and the office gets a login with the admin or sales role, so nobody shares the owner's password.

Envoice records payments rather than collecting them online, and WhatsApp sharing works by link, with you tapping send.

What to look for in garage software

Before you pick a system, test it on the jobs that cause arguments:

  • Can the customer approve an estimate, and a revised one, in writing from their phone?
  • Can a mechanic add photos, time and parts to the job card from the workshop floor?
  • Does a job become an invoice without retyping the parts?
  • Does it track parts stock and warn you before you run out?
  • Can company customers be billed and chased separately from walk-ins?
  • If you're above Rs 3m turnover, VAT registration is compulsory from 1 October 2026. Does the software prepare the VAT worksheet? Envoice's VAT Manager prepares the monthly worksheet and the VT03 annex; you file on the MRA portal.

Getting started this week

  1. Start the free trial and add your garage details, BRN and VAT number if you have one.
  2. Enter the parts you use most, with stock counts and low-stock levels.
  3. Save your common labour items: service, brake job, clutch, diagnostic.
  4. Send the next estimate from Envoice and get the customer's acceptance on their phone.
  5. Give each mechanic a login and use the technician app on two or three jobs.
  6. Enter your company and fleet customers' open invoices so you can see who's behind.

Try it on the next car through the gate

The trial runs on the Business plan and doesn't need a card. Sign up at www.envoice.mu, or WhatsApp +230 5881 9999 if you'd like help setting up your parts and labour items.

Know who owes you. Keep the proof.
