Billing software for doctors and clinics in Mauritius: patient files, dose plans and receipts
Doctors and clinics in Mauritius: patient files, diary, invoices and numbered receipts, plus a dose builder in English or French. 14-day Envoice.mu trial, no card.
Imagine an evening surgery in Vacoas. The waiting room is full by half past five; the secretary is booking follow-ups, taking cash and card, and writing receipts in a carbon-copy book between phone calls. A patient asks for a receipt for a consultation in June because her employer's scheme wants it. A local company that sends its staff for pre-employment medicals hasn't paid for the last batch, and nobody is sure whether it was eight people or nine. The doctor, between patients, would rather think about medicine.
Why receipts go missing in a busy practice
Invoice Blindness is when the work is done and billed, yet nobody can say right now what has been paid and who still owes. In a practice, it rarely looks like unpaid patients. It looks like a June receipt nobody can find, a company account that drifted for three months, and a till total that doesn't quite match the card terminal.
The causes are ordinary. Charges get written on the patient's card, payments in a receipt book, company accounts in a spreadsheet on the reception computer, and the diary somewhere else. Each record is fine on its own, but nobody can put them together quickly.
How a practice runs in Envoice
The Professional practice add-on gives you patient files, a diary and charges, with separate roles for the secretary, billing and the practitioner. A visit runs from booking, to the consultation, to a medication record if the patient needs one, to the invoice. Creating or changing practice records needs the add-on on Starter Plus (see current pricing a month) or a higher plan.
| Who pays | How it's recorded |
|---|---|
| Patient at the end of a consultation | The charges you record for the visit are billed into a draft invoice that you review and issue; payment by cash, card, Juice, bank or cheque is recorded and a numbered receipt follows |
| Patient for a planned procedure | A quote they can accept on their phone, then the invoice and receipts |
| Company sending staff for medicals | An invoice to the company for each batch, with payment reminders until it's paid |
| A correction after the visit | A credit note, because issued invoices stay locked |
Each charge is marked standard-rated, zero-rated or exempt, so the invoice carries the VAT treatment you choose. Your accountant will know how that applies to your services.
When the patient asks for that June receipt, the secretary finds it under her name and shares it again by WhatsApp link. The company's medicals sit on their own invoices, so "eight or nine?" has a written answer.
Roles matter here more than in most businesses. Health data is a special category under the Data Protection Act 2017, which is why patient consent matters. In Envoice, confidential consultation notes are restricted to the assigned practitioner (or a reader the practice assigns). A secretary sees files and appointments but not the notes; billing sees charges; and an administrator doesn't get the notes just by being an administrator. Clinical notes are never copied onto an invoice. Each person signs in with their own login, two-step login is available, and administrators can see recent access and activity on the practice screen.
The dose builder and the printed prescription
In a medication record you build each line from fields: the medicine, the number of tablets for morning, noon, evening and night, before, with or after meals, and the number of days. Envoice turns that into plain wording for the patient, in English or French: "2 tablets in the morning, 3 at night, after meals, for 5 days".
Two separate things can happen next, and they work differently.
The plan for the patient. Once you have recorded that the patient agreed to receive it on WhatsApp, a button opens the share sheet on your phone, or a WhatsApp link where there isn't one, with the plan already written. You tap send yourself. Envoice doesn't send anything by itself, and until consent is recorded the button stays disabled.
The prescription. Envoice prints it for your handwritten signature, with your name and registration number at the top. It's a printed prescription, and nothing about it replaces your signature. Controlled drugs must be prescribed by hand: tick the controlled drug box on a medicine and Envoice won't print that record. Every plan shared and every prescription printed is logged on the file.
What to look for in practice software
Before you trust any system with patient records and money, ask:
- Does each person get their own login, with two-step login available?
- Are roles separate for reception, billing and the doctor, and who can read the consultation notes?
- Can you find any patient's past receipts in seconds?
- Are invoices locked once issued, with corrections through credit notes?
- Can company accounts be billed separately from individual patients, with reminders?
- How does the vendor handle consent before anything is sent to a patient's phone?
Getting started this week
- Start the free trial and add the practice's details and logo.
- Add the Professional practice add-on, from Starter Plus up, so patient files and the diary are switched on.
- Set up your standard charges: consultation, follow-up, medical certificate, common procedures.
- Create logins for the secretary and anyone handling billing, each with their own role.
- Enter the companies you bill for medicals and raise invoices for any open batches.
- Run one evening surgery's payments through Envoice and compare the totals with your card terminal.
Try it for one surgery
The trial gives you a free trial on the free plan with no card required. The Professional practice add-on isn't part of the trial. You add it to your plan, and it needs Starter Plus or above. Prices are per workspace, before VAT. Visit www.envoice.mu, or WhatsApp +230 5881 9999 if you'd like help setting it up for your practice.
