Getting paid faster: online quote acceptance, reminders and part payments

Shorten the wait for payment in Mauritius: quotes clients accept on their phone, steady reminders, deposits and part payments. A guide from Envoice.mu.

Most late payments aren't fraud. They're a client who meant to pay, lost the invoice in a WhatsApp thread, and assumed you'd remind them if it mattered. The gap between finishing the work and seeing the money usually comes from small frictions on your side as much as theirs, and you can remove most of them.

Start before the invoice: get the quote accepted in writing

A verbal "ok go ahead" is where many disputes begin. If the client never confirmed the price, the invoice becomes a negotiation.

With Envoice, you send a quote as a link and the client accepts it on their phone. You then have a record of what they agreed to, at what price, on which date. When the job is done, you convert that accepted quote into the invoice, so the figures match and there's nothing new for the client to question.

Ask for a deposit on bigger jobs

For a kitchen fit-out in Moka or a renovation spread over six weeks, waiting for one payment at the end puts all the risk on you. Ask for a deposit when the quote is accepted, invoice stages as the work progresses, and hold back an agreed retention if that's how your trade works.

Envoice's contractor projects handle deposits, stage invoices and retention, and keep the whole project in one place, so you're not adding up six separate invoices by hand when the client asks what's left to pay.

Make paying you obvious

An invoice that says "please pay" without saying how gets paid later. Put your bank account, your Juice number and any cash or cheque arrangements on every invoice, and set a real due date instead of "on receipt".

To be clear about what Envoice does here: it records payments. It doesn't collect card or Juice payments online. The client pays you the way they always have, and you record the payment against the invoice.

Accept part payments without losing track

Plenty of Mauritian clients pay in pieces, Rs 5,000 now by Juice and the rest at month end in cash. That's fine as long as you can see the balance.

Record each part payment against the invoice by Juice, cash, card, bank transfer or cheque, and Envoice issues a numbered receipt every time. The invoice keeps showing what's still owed until it reaches zero. No spreadsheet on the side, no "I'm sure he paid something in August".

Reminders: steady, polite, automatic

Most owners don't chase because chasing feels awkward, and by the time they do, the invoice is two months old. A reminder that goes out on schedule removes the awkwardness, since it's clearly a system and not you being impatient.

Envoice sends payment reminders on overdue invoices, so the follow-up happens even in the weeks you're too busy on site to think about it. Keep the tone friendly; the point is to put the invoice back in front of them, not to start a fight.

Regular clients: recurring invoices

If you bill the same client the same amount every month (a maintenance contract, a cleaning service, a retainer), set up a recurring invoice. It goes out on the same day each month, and your client gets used to paying on that rhythm.

Know where you stand each morning

The daily owner summary email tells you what came in and what's still owed, without logging in.
