Invoicing for freelancers and consultants in Mauritius: quotes, deposits and retainers that get paid

Freelancers and consultants in Mauritius: quotes clients accept online, deposits, recurring retainers, reminders and receipts. 14-day trial, no card. A guide from Envoice.mu.

Imagine you're a graphic designer working from a spare room in Beau Bassin. This month you've got a logo project for a new café in Flic en Flac with 50% up front, a monthly social media retainer for a property agency, and two days of workshop facilitation for a company in Ebène whose finance team insists on an invoice with their full company name and BRN. The café paid the deposit, you think. The retainer for September went out, but did August's? Your invoices are Word files called "invoice-final-v2", and the last one you sent was number 37, or possibly 38.

The freelancer's version of Invoice Blindness

When you work alone, you're the designer or consultant, the sales team and the accounts department all at once, and the accounts department gets whatever time is left on a Sunday night. That's how Invoice Blindness sets in: the work is delivered and the invoices went out, but you can't say straight away who has paid and who still owes you.

Freelancers usually have fewer clients than a shop, but each one matters more. One unpaid Rs 40,000 project can be a month's rent. And because you're chasing people you'll want to work with again, the awkward "just following up" email often never gets written. Clients aren't usually being difficult. Your invoice simply sank in their inbox, and nothing reminded either of you.

How a project runs in Envoice

Every piece of work follows one path: quote, client accepts, invoice, paid, receipt. Here's how the usual freelance arrangements fit.

Kind of workHow you bill it in Envoice
Fixed-price project with a depositA quote the client accepts on their phone, the deposit recorded as a part payment, the final invoice for the balance, a receipt each time
Monthly retainerA recurring invoice that goes out on the date you choose
Day rate or workshopA quote for the days agreed, then an invoice once delivered
Change of scope after the quoteA new quote for the extra work, accepted before you start it
A goodwill discount after deliveryA credit note, because issued invoices are locked

Online quote acceptance does more for a freelancer than it first appears. The client taps Accept on their phone, and you have a dated record of what they agreed to before you open your design software. When the project finishes, the quote becomes the invoice without retyping. Invoice numbers run in sequence on their own, so there's no more guessing between 37 and 38.

Payment reminders follow up on invoices that are still open, which saves you writing the awkward email. When money arrives by Juice, bank transfer or cheque, you record it against the invoice and the client gets a numbered receipt. Envoice records payments; it doesn't collect them online. You share invoices by email or WhatsApp link, tapping send yourself.

Expenses with AI receipt reading take the amounts off a photo of a software subscription receipt or a printing bill, and every plan includes a monthly allowance of reads. If you're getting busier, remember that VAT registration becomes compulsory above Rs 3m turnover from 1 October 2026. Envoice prepares the VAT worksheet; you file on the MRA portal yourself. On the Starter plan VAT preparation is an add-on, and on Business it's included.

Most freelancers start on Starter, which has one login. See www.envoice.mu/pricing for current prices.

What to look for in freelance invoicing software

Pretty templates are easy to find. These questions matter more:

  • Can a client accept a quote online, so you have their agreement in writing?
  • Do invoice numbers run in sequence automatically, and lock once sent?
  • Can you take a deposit and bill the balance on the same job?
  • Do retainers bill themselves every month?
  • Will it send reminders, so you don't have to write the awkward follow-up?
