Day close for shops: counting the till without the guesswork
A simple day close routine for Mauritian shops and food businesses: count cash, check Juice and card, explain differences and watch low stock. A guide from Envoice.mu.
It's 7.30pm at a small shop in Rose-Hill. The shutter is half down, someone is counting notes on the counter, and the total doesn't match what the owner thinks they sold. Is it Rs 400 short or did a customer pay by Juice and nobody wrote it down? Without a proper day close, nobody can say, and the question gets carried into tomorrow and then forgotten.
A day close is ten or fifteen minutes at the end of trading that tells you exactly what came in, how, and whether the money matches the sales.
Why "roughly right" isn't good enough
Small differences add up. A drawer that's a few hundred rupees out on most days is a real sum by the end of the month, and if you never look, you can't tell a counting slip from a habit. It also matters for VAT if you're registered: your sales records need to match the money, not a guess.
Day close isn't about suspecting your staff. Most gaps come from honest muddles: change given wrong, a Juice payment recorded as cash, a sale rung up twice.
Sell through the till all day
The day close only works if sales went through the till. Envoice's POS till records each sale with its payment method (cash, card or Juice) and works with a barcode scanner, so items ring up correctly without anyone typing prices from memory.
If something gets sold outside the till ("I'll put it in later"), the close won't match, and you'll spend the evening hunting for it.
The day close, step by step
- Stop sales. Finish the last customer and close the till for the day.
- Look at the expected totals. Envoice's day close shows what the till recorded, split by payment method: cash, card and Juice each on their own line.
- Count the cash drawer. Take off the float you started with, then compare the rest with the expected cash figure.
- Check Juice. Compare the Juice total with the payments that actually reached your account in your banking app. Envoice records Juice sales; it doesn't receive the money, so your bank is the proof.
- Check card. Compare with the card terminal's end-of-day total.
- Explain any difference. Write a short note: "Rs 200 short, change error, 4pm customer" is enough. A difference with a note is an honest record. A difference without one becomes a mystery.
- Lock it away. Bank the cash or put it in the safe, ready for tomorrow's float.
Do it the same way every day and it soon takes less time than the argument it prevents.
Watch the stock while you're at it
The same sales that fill the till also take items off your stock. Envoice tracks stock levels and gives you low-stock alerts, so the end of day is a sensible moment to look at what's running low and add it to tomorrow's order. Running out of the one brand of rice your regulars buy costs you more than the item.
Know the numbers even when you're not there
If you have someone else closing, the daily owner summary email tells you what came in and what's still owed, even if you went home early. Give each staff member their own login with the sales role rather than sharing the owner's, and the activity log shows who did what.
Which plan
The Starter plan includes a simple POS. All POS modes come with Business, and Business Plus adds up to 3 locations and a kitchen display for food businesses. Check envoice.mu/pricing for current prices.
